What I take off your plate
AI handles the routine steps. Your people keep the decisions and the relationships. Every example below is a system running today.
Invoices read by AI, checked for duplicates and booked into Procore or QuickBooks without retyping.
Construction · 2,500 invoicesAgents that answer customers and members from your own documents, and stay current when those documents change.
Players' portal · 1,000 answersRecurring reports built, named and emailed for you, and dashboards that make mismatches obvious.
USL · 4,000 reportsProposals, contracts, payments and onboarding emails that run from one CRM instead of five inboxes.
Orbis Performance · 8 tools, one systemOrders synced to accounting, and AI helpers on product pages that answer before a customer gives up.
Wallpaper store · AI yardage quotesSimple apps that replace the shared spreadsheet, with logins, roles and an archive of every submission.
Dues app · 2 years in productionHow we start
We pick the one process that costs you the most hours and check whether it's worth automating. No pitch deck.
Scope and price agreed before I start. You see a working flow within the first week, not at the end of a quarter.
You own the flows, the data and the logins. Failures are flagged on the record from day one, and I stay on if you want.
The work

When an invoice lands on the monday.com board, Gemini pulls out the vendor, amount, tax, PO and invoice number, checks the file really is an invoice and isn't a duplicate, then creates a direct cost in Procore with the file attached. Anything that fails a check goes to a review log.

Pulls payroll records from Airtable, merges duplicate player rows and writes one spreadsheet per team with totals for the national office. It checks the live schema before running and emails the whole batch in one message, saving team managers about 12 hours a month.

Replaced a clunky per-pattern calculator. The agent asks for wall widths and ceiling height, then returns yardage and retail price for that exact pattern, with the 5-yard minimum. Pattern specs are read from the product page, so there's no formula to maintain per pattern.

While rebuilding the teams' spreadsheet reports, I noticed the formulas were off. I built a dashboard that puts dues owed from Airtable contracts next to dues actually paid, so every gap stands out, then replaced the sheets with an app that calculates them correctly.
More projects
Answers questions from the league's 1,500 players about their collective bargaining agreement, using a Supabase knowledge base that re-syncs whenever the source document changes.
Syncs Shopify orders to QuickBooks Online: finds or creates the customer, matches line items by SKU, adds shipping and creates the invoice.
Team managers record player union dues, picking players from a roster synced through n8n, and submit them to the players' association. Every submission is archived, and admins see all teams and the league-wide history. It replaced a Google Sheets process and has been running for two years.
Builds invoices from Airtable line items, creates them in QuickBooks through the API, attaches the QuickBooks PDF back to the record and flags anything missing with an error status and notes.
Lead CRM in Airtable, proposals and contracts through PandaDoc, Stripe subscriptions created from Airtable, Fillout onboarding with a four-email Resend sequence and workday reminders, platform access collected through Leadsie, and AI summaries of Fathom call transcripts.

Questions
Every build is fixed-price and agreed before work starts. A single flow is usually a small project; larger systems are scoped after the first call so you know the number up front.
Usually within the first week. I ship a working version early, then refine it on your real data instead of polishing a spec.
No. I handle the setup, the integrations and the documentation. Your team only needs to tell me how the work is done today.
Every flow reports its own failures: a status and error message on the record, a review log for anything it can't process, and checks that stop a run before bad data goes anywhere. Ongoing support is available as a monthly plan.
You do. Everything runs in your accounts, with your data and your logins. If we stop working together, nothing stops running.
Make.com and n8n for orchestration; Airtable, monday.com and Supabase for data; Gemini and Claude for the AI parts; Lovable, Next.js and TypeScript when an app or custom code is the better fit. I regularly connect QuickBooks, Procore, Shopify, Stripe, PandaDoc and Gmail.
About
Flowly Labs is a small automation studio. I design and build every system myself, with AI agents handling the routine parts, so you always talk to the person who writes the code.
Recent work: invoice pipelines for a construction company, dues reporting and an AI contract agent for a pro soccer league, and the whole back office of a marketing agency.
